The Embassy of Switzerland in Jakarta is currently seeking a dedicated professional to join its team on a fixed-term, one-year employment contract as an Accounting, Administration & Finance Assistant.
## Role Overview and Core Responsibilities

This multifaceted position requires a proactive individual capable of handling diverse tasks ranging from programme implementation to high-level financial reporting and logistical coordination.

1. Programme Implementation Support
* Assist BNPB (National Disaster Management Agency) in drafting and organizing administrative and financial paperwork in strict compliance with SDC (Swiss Agency for Development and Cooperation) guidelines. This includes terms of references, procurement requests, contracts, invoices, and payment requests.
Thoroughly review administrative and financial records generated by BNPB and the Direct Action team, ensuring adherence to Direct Action procurement workflows, signing authorities, and Indonesian Standar Biaya Masukan* (SBM) regulations.
* Collaborate closely with the Embassy's internal administration and finance personnel to track payment approvals and draft contracts utilizing the ESPRIT tool.
* Assist the Direct Action team in clearing cash advances and settling outstanding payments following the conclusion of each project activity.

2. Accounting and Financial Reporting
* Daily Accounting: Oversee quality control for payment requests, execute bank system transaction registrations, perform initial payment approvals twice a week, input data into the Vision+ accounting software, and maintain digital and physical archives of all accounting paperwork.
* Monthly Reporting: Gather SAP extracts and financial documents, validate booking vouchers and monetary proofs, and compile comprehensive monthly accounting reports for managerial review.
* Cash Flow Management: Periodically update cash flow forecasts every three months aligned with the latest work plans under the guidance of the Programme Manager.
* Budget Tracking: Assist the Programme Manager in updating budgets based on current expenditures and active contracts, while maintaining meticulous logs of expenses and contracts associated with the Direct Action Budget.
* Provide backup support to the Embassy’s primary bookkeeper during periods of lower operational demand within the Direct Action sector.

3. Administration, Quality Control, and Logistics
* Oversee official correspondence and archive management for Direct Action initiatives.
* Perform quality assurance on documents produced by BNPB and programme officers, ensuring professional formatting for concept notes, activity reports, ToRs, minutes, letters, and social media content.
* Coordinate logistical arrangements for field missions, project steering committee (PSC) meetings, and specialized gatherings.

4. Communication and Social Events
* Provide light translation support between Indonesian and English.
* Assist in organizing special events, managing communications, drafting newsletters, and facilitating official visits by Swiss government representatives.
## Mandatory Qualifications and Requirements

* Educational Background: Hold a Bachelor’s degree in Accounting, Finance, Administration, Business Administration, or a closely related discipline.

Regulatory Knowledge: Demonstrate a strong understanding of Indonesian government financial policies and regulations, specifically Standar Biaya Masukan* (SBM).
* Technical Skills: Exhibit advanced proficiency in Microsoft Word, Excel, and accounting software, with the adaptability to master proprietary financial tools.
* Personal Attributes: Maintain uncompromising integrity, loyalty, trustworthiness, and strict adherence to confidentiality protocols.
* Language Proficiency: Possess exceptional written and verbal communication skills in both English and Indonesian. Proficiency in German or French serves as an added bonus.
